Accounts Payable Specialist

Location: Culver City, CA
System: QuickBooks (Online or Desktop)

Position Summary

The Accounts Payable Specialist is responsible for full-cycle accounts payable functions, ensuring accurate, timely processing of invoices, expense reports, and vendor payments. This role requires strong attention to detail, excellent communication skills, and hands-on experience with QuickBooks in a fast-paced environment.


Key Responsibilities

  • Process full-cycle accounts payable, including invoice intake, review, coding, approval, and payment in QuickBooks
  • Match invoices to purchase orders and receiving documentation (2-way and 3-way matching)
  • Verify accuracy of vendor invoices, GL coding, cost centers, and required approvals
  • Manage weekly and bi-weekly payment runs (ACH, check, wire)
  • Maintain vendor master files, including W-9 collection, banking information, and vendor setup in QuickBooks
  • Reconcile vendor statements and research discrepancies or past-due balances
  • Respond to internal and external vendor inquiries regarding payment status and account issues
  • Assist with month-end close by preparing AP accruals and reconciling AP subledger to the general ledger
  • Support annual audits by preparing AP schedules and providing supporting documentation
  • Ensure compliance with company policies, internal controls, and accounting procedures
  • Assist with 1099 preparation and reporting
  • Collaborate with procurement, finance, and operations teams to ensure smooth invoice processing

Required Qualifications

  • 3+ years of Accounts Payable experience, including full-cycle AP
  • Strong working knowledge of QuickBooks (Online or Desktop)
  • Experience processing high-volume invoices
